Clergy Assistant

Overview:

The Clergy Assistant provides essential administrative support to the clergy team and assists with the smooth operation of the synagogue's religious and spiritual activities. This role requires a high degree of organization, discretion, attention to detail, and the ability to manage multiple tasks in a dynamic environment.

Position Type: Part-Time (25-30 hours a week)

Reports To: Senior Rabbi/Executive Director

Key Responsibilities: 

  • Support the clergy in their administrative needs including but not limited to calendar maintenance, and scheduling, and confirming appointments.
  • Manage general clergy emails, mail and phone calls while operating with timeliness, sensitivity, and discretion.
  • Communicate with and support families as they schedule life cycle events.
  • Support clergy with needs surrounding b’nai mitzvah preparations such as scheduling meetings and preparing materials.
  • Coordinate and print shabbat announcements and programs.
  • Coordinate usher scheduling, weekly yahrzeit materials, and mailings.
  • Support High Holy Day and any other holiday needs of the clergy department.
  • Manage expense reimbursements and discretionary fund filing for clergy team.
  • Support clergy in administrative needs for day-to-day tasks (e.g. teachings materials) and special events (e.g. reservations and minor logistics for hosting congregants)

Qualifications:

  • Proven administrative/executive assistant or secretarial experience.
  • Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.) and database management (experience with synagogue software like ShulCloud is a plus).
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and a compassionate, discreet demeanor for handling sensitive phone calls and confidential information.
  • Exceptional organizational skills and the ability to prioritize tasks effectively in a busy team environment.
  • Familiarity with Jewish customs, holidays, Hebrew, and synagogue life is a plus but not a requirement.

Salary: $45,000

Hours: 25-27 hours a week, M, T, W, F
